    Great American's Trucking Division is currently searching for an Executive Assistant.  This person in this position will report to the Senior Vice President (SVP) of Claims and will handle a variety of complex administrative functions and confidential situations.  The position supports the SVP, Claims Management team and claim department overall.   


    • Participates in developing, implementing, assessing, and improving applicable processes and workflows.
    • Assists in the preparation and administration of budget and control activities.  
    • Oversees all aspects of assigned projects through completion.
    • Builds and maintains strong intra-company and external relationships.
    • Understands divisional, business and organization to accomplish objectives.
    • Schedules appointments and makes travel and visitor arrangements.  
    • Maintains calendars and schedules and works effectively with remote staff.
    • Plans and executes logistics for departmental meetings including meeting minutes.
    • Timely and accurately processes expense reports, draft requests, and monthly invoices.
    • Updates shared lists and charts (Adjuster Authority List, Trucking Claims Phone List, and Claims Organization Chart). 
    • Compiles, provides analysis and distributes Monthly Claims Report.
    • Administers Adjuster Licensing including applications, renewals; tracks and updates all associated spreadsheets.
    • Manages and distributes all departmental suits and Department of Insurance complaints.
    • Assist with Business Continuity Planning and perform duties as Claims coordinator.
    • Orders, distributes and tracks departmental office supplies and shared equipment as well as coordinates maintenance. 
    • Builds and maintains strong intra-company relationships.
    • Personnel on-boarding
    • Prepares tickets and requests including Real Estate Facilities, Telephone Support Requests, Customer Care, Building Management, and Extensity.    
    • Builds, updates, and runs reports to provide claim data to Senior Divisional Vice President and Senior Management. Report environments include Cognos 8, (CDW and Data Mart) and Business Objects.
    • Manages Claims Page on the Trucking Portal.
    • Other duties as assigned.


    • High School diploma or equivalent required. Associates degree preferred.
    • 3-5 years of work related experience in a corporate environment
    • Strong organizational and time management skills
    • Ability to affectively multi-task when needed   
    • Excellent knowledge of all software applications including Microsoft Office, OneNote
    • Excellent oral and written communication skills
    • Must be able to work effectively with internal and external customers at all levels.
    • Must have ability to show initiative with strong decision making skills
    • Must have the ability to maintain confidential information
