    Great American's Excess Liability Division specializes in offering large limits of liability to protect its clients' corporate assets from catastrophic loss. The Division can tailor coverages to meet specific individual exposures and provide a customized Excess program. The Excess Liability Division is staffed with an energetic team of true professionals empowered to respond quickly, decisively and enthusiastically.

     

    The Excess Liability Division is currently searching for a Administrative Assistant II for the Orange, CA office. 

    Responsibilities

    • Collects, compiles and analyzes moderately complex information to be included in reports, correspondence and policies.  Ensures all outgoing information meets quality standards.
    • Reviews instructions from agents, underwriters, insureds, brokers, etc. to understand and determine what is needed to provide quotes, issuances, renewals, endorsements, etc.
    • Enters rate, premium and / or policy information into appropriate systems for policy updates / issuance.
    • Maintains electronic and paper files and / or databases.  Accuracy and completeness are important.
    • Orders, prepares and updates reports (i.e., loss control, financial reports, loss run requests, etc.) and / or legal notices (i.e., Notice of Cancellation, non-renewal notice, motor vehicle / motor carrier filings, etc.).
    • Utilizes computerized systems for research, tracking, information gathering and / or troubleshooting (i.e., Excel / Word programs, legacy systems, internal systems, third party vendor delivered systems, etc.).
    • Shares and / or conveys information via telephone, e-mail, regular mail, or in person to underwriters, claim adjusters, agents, brokers, reinsurers and / or insureds maintaining a professional demeanor in all situations.
    • Answers, takes messages and screens telephone calls. Receives and directs visitors.
    • Schedules and maintains calendar of appointments (paper and electronic), meetings and travel itineraries. Coordinates related travel arrangements.
    • Sorts incoming mail.
    • Maintains and orders office supplies and services.
    • May participate in the preparation of budget and control activities, including preparing and verifying invoices, expense reports, etc.
    • Administers programs, projects, and processes specific to the operating unit served, including attendance at meetings and preparation of meeting minutes.
    • May serve as administrative liaison with others both internal and external to the organization regarding administrative issues related to purchasing, personnel, facilities and operations.
    • May assist in planning and executing logistics for departmental meetings and events for employees, agents, customers, etc.
    • Maintains business relationships and familiarity with department policies and procedures, as well as the business and organization.
    • Performs other duties as assigned.

    Qualifications

    • 2-4 years of administrative experience.  Prior insurance experience is helpful, but not required.
    • Associate’s degree or equivalent experience.
    • Strong organizational skills and advanced knowledge of Microsoft Word, Access, Excel and PowerPoint.
    • Must have the ability to work with individuals at all levels internally as well as outside of the organization.
    • Ability to work in a fast-paced team environment.
    • Excellent verbal and written communication skills.
